How to organize customer follow-up with notes, tasks and replies
Follow-up is not repeatedly sending the same person a message. It is knowing the last conversation, expected response and next owner in one record.

Record a next step per contact
After sharing a proposal, record more than 'proposal sent': add an actionable task with a date, owner and expected decision. Notes, tasks and sales stages have different meanings. Reading a notification does not complete a task.
Match replies to the right conversation
A contact may write about another subject. A billing question, for example, does not automatically settle a separate sales conversation. Check the account and conversation a reply belongs to before deciding which follow-up should stop. If context is missing, review the record rather than guessing.
Update stages from actual progress
A pixel open does not prove a proposal was read or buying intent exists. Conversations, explicit replies and decisions explain progress better. Review automation when opt-outs or account access change; replaying historical events is not a repair.
